Our group had to prepare materials for a workshop with twelve visitors. Before buying anything, we checked what was already available. There were a few spare pencils, a little glue and a large box of clean paper with writing on one side. We could reuse that paper for rough plans, but we needed blank sheets for the final cards.
At first, someone suggested printing twenty copies of every instruction. We asked whether each visitor needed a separate copy. The activity was in pairs, so six clear instruction sheets were enough. We printed one extra copy for the teacher and kept the file for later use.
Time was a different problem. We had little time before the room closed, so we divided the remaining tasks. Two people checked pencils while two others counted sheets. Our plan did not remove every cost, but it reduced unnecessary printing and made sure the essential materials were ready for everyone.
